The IARW-WFLO Expo offers a singular opportunity to present product and service information to the largest concentration of public refrigerated warehouse and logistics executives in the world.
The exhibit area will be open for set up from 1:00-5:00 pm, Sunday, April 22, 2012. The show will officially close at 10:00 am Wednesday, April 25, 2012. The show will be held in the Arizona Ballroom. Expo participation will be boosted by upscale refreshments both before the program each day and during the mid-morning break. Monday we will have a lunch in the exhibit hall and Wednesday we will hold a brunch.
Reservations
To register for your booth:

- Select the 2012 IARW-WFLO Expo
- Click on "Purchase Booth"
- Select "Add Booth"
- You are now in the booth registration area. Select from the columns at the top to search for available booths. It may be helpful to view the expo map when making your selection.

Members that fall into Tier 1 will receive an email inviting them to register for an expo booth on November 28, 2011. Members that fall into Tier 2 will be eligible to register on December 12, 2011. Open booth registration for all members will start December 26, 2011.

Eligibility
There are three eligibility requirements for participation in the IARW-WFLO Expo.
- Exhibiting company must be an IARW Associate Member and 2012 dues must be current
- Each company representative participating must be fully registered for the convention
- Exhibit space payment must accompany booth reservation
Specifications
Each space, consisting of pipe and drape is 10 feet wide by 8 feet deep (80 square feet). All booths include an 8' high back wall, 3' high side wall, and an identification sign. The exhibit hall is fully carpeted.
Suitability
Exhibits should be of a type and character to be of interest to refrigerated warehouse operators. Exhibits which, in the opinion of exhibit management, are excessively noisy, emit odors or are otherwise objectionable to other exhibitors or registrants will not be permitted. No combustible decoration may be used at any time. Exhibit management reserves the right to require an exhibitor to correct an objectionable condition at exhibitor expense.
Expo Support
Expo support will be provided by GES, an outstanding full service trade show supplier with much professional experience. GES will provide each exhibitor with an exhibitor kit, list of services and rate sheet as soon as they are advised by IARW of space assignments.
Liaility
The exhibitor indemnifies and agrees to hold harmless the International Association of Refrigerated Warehouses, its officers and staff members, and the hotel, its officers, directors, employees and agents, from and against any actions, losses, costs, damage, claims, and expenses (including attorney's fees) arising from any damage to property or bodily injury to exhibitor, his agents, representatives, or employees by reason of the exhibitor's occupancy or use of the decorator, drayable company and/or exhibit. In assuming the full risk of loss or damage to its equipment, supplies, and exhibited goods, exhibitor acknowledges that IARW is not obligated to maintain insurance coverage for the exhibitors equipment and materials, and that if the exhibitor desires insurance it must obtain its own.
Security
JW Marriott Star Pass has an excellent security program, but exhibitors are encouraged to exercise prudence in caring for small and expensive items. (e.g., laptop computers) when booths are not attended. Neither IARW nor JW Marriott Star Pass can assume responsibility for exhibitor property.
Cancellation Policy
Exhibitors who cancel less than sixty (60) days prior to the exhibit will be responsible for the full cost of their space, unless the space is resold. If the space is resold, exhibitors will receive a full refund minus a $100 administration fee. If an exhibitor fails to appear without prior notification, he will be responsible for the full cost of the exhibit space and, in addition, forfeit his position on the priority list for space reservations at future exhibits.
Expo Prizes
Each year, several exhibitors bring prizes to the expo as a great way to attract attendees to their booths. We will post a list of possible prizes onsite at the event. Winners will be announced during the final expo session on Wednesday, April 25, 2012. To contribute a prize:

- Bring a container, like a basket or a glass bowl, to display at your booth and collect business cards.
- Exhibitors will be responsible for drawing a winner for their respective prize. Association staff will collect a list of winners at the beginning of the expo session on April 25, 2012. Announcements will be made at the end of that session.
